THE OPERATIONAL PROBLEM
Finding the full story of a delivery took too much searching.
The businesses needed to find who delivered what, when and where, together with the photos and signatures. The delivery provider also needed a clear view of requests, completed work, expenses and which deliveries had been invoiced.
THE CUSTOM SYSTEM
One delivery record from the road to the office.
Drivers capture delivery information on their phone as the work happens. Kilometres are calculated in real time, delivery locations are saved, and photos and signatures stay attached to the delivery. The same record supports the proof-of-delivery PDF, cost calculation, invoice and operational reporting.
- Real-time kilometre calculation
- Driver details, dates and starting points
- Saved stops and delivery locations
- Delivery photos and on-phone signatures
- Automatic proof-of-delivery PDFs
- Search by client, date, driver and keyword
- Kilometre rates, tolls and additional expenses
- Invoice creation and invoicing status
- Fuel consumption, purchases and station records
- Photo galleries and delivery history
- Fuel station, hotel and driver statistics
- Requests, completed deliveries and expense reporting
THE CONNECTED WORKFLOW
From the driver's phone to a complete delivery record.
- 01
Record the journey
The system records the driver, date, starting point, kilometres and stops. Photos and signatures are collected on the phone at delivery.
- 02
Assemble the evidence
An organised PDF brings together the driver details, route, stops, photos and signatures. The company keeps it as proof of delivery; the information also remains searchable in the system.
- 03
Calculate and invoice
The configured kilometre rate is applied to the distance. Tolls, fuel, hotels and other additional expenses contribute to the total. An invoice is created from the delivery, with its invoicing status tracked.
- 04
Review the operation
Requests, completed work, expenses and invoicing share one view. Fuel consumption, refuelling locations and costs are recorded, with statistics across fuel stations, hotels and drivers.
For the business arranging the delivery, the driver, location, date, photos and signatures are easy to find. For the delivery provider, each job stays connected to its expenses, total charge and invoicing status.
THE OUTCOME
